Correct an Incorrect Recurring Meeting in a Resource Mailbox

If a room or resource calendar contains a recurring meeting that should no longer include a person or resource, first identify the meeting organiser. Calendar items should normally be corrected by the organiser so Exchange can send consistent updates to all attendees.

Recommended workflow

  1. Confirm the affected resource mailbox and the exact recurring series.
  2. Check who organised the meeting and ask the organiser to update or cancel the series when possible.
  3. If administrative access is genuinely required, grant temporary least-privilege mailbox access according to your organisation’s change process.
  4. Open the resource calendar using supported Outlook/OWA delegation, locate the exact series and make only the approved correction.
  5. Remove the temporary permission immediately after verification.

Why this matters

Editing a single occurrence, the whole series or a resource copy can have different results. Take note of the meeting subject, organiser and recurrence before changing anything, and avoid deleting unrelated resource-calendar items.
